What is WorkCover WA Online?

WorkCover WA Online is an initiative of WorkCover WA to incorporate a range of client services, communication and information technologies on a central digital platform. WorkCover WA online will provide a secure single point of access for all business activities and processes for the progressive conversion of paper based to online service delivery. Over time all existing business and additional functions will be moved to the digital platform.

The first stage of the development process, to migrate Insurer On-line functions is completed. WorkCover WA Online offers registered insurer and self-insurer users, access to a range of business services pertaining to Scheme Information including requests for a WorkCover number, lodging monthly data submissions and requesting policy cancellations.

Register for WorkCover WA Online
How do I access WorkCover WA Online?
WorkCover WA Online is available on the main website WorkCover WA. To navigate to WorkCover WA Online, on the homepage select Service Providers and on the left hand menu select Self-Insurer and then select WorkCover WA Online.

To conduct business activities on WorkCover WA Online, you must first:

  • Register to create an account.
  • Associate with a self-insurer.
Who can register for WorkCover WA Online?
WorkCover WA Online is available to staff of registered West Australian insurers and self-insurers to conduct business activities with WorkCover WA.
How do I register for WorkCover WA Online?
On the WorkCover WA homepage select the Service Providers menu and then select Self-Insurer and then select WorkCover WA Online. Select Register Here and you will be presented with the registration page.

You will be required to enter the following:

  • First Name
  • Surname
  • Email
  • Password

Passwords must be at least 8 characters long and have at least one digit, one uppercase and one special character (e.g. !$?-*)

You will be provided with a screen message to check your email inbox for an email notification that will have a link to confirm your email address. Select the link and you will be presented with a dialogue box to Confirm email address. To activate your account you must select the link in your email.

Association with a self-insurer
What does it mean to be associated with a self-insurer?
By being associated with a self-insurer you will be granted permission to conduct business activities with WorkCover WA on behalf of self-insurers through the WorkCover WA Online platform.
How do I associate my account with a self-insurer?
You can request for association with a self-insurer in the My Account page on the WorkCover WA Online homepage. Select the Request Association and a form will appear requiring you to select from the dropdown lists the type Self-Insurer and the Self-Insurer Name.

Submit the form and your Local Security Officer (LSO) will approve your request.

Can I be associated with more than one self-insurer?
Yes, you can request associations with multiple self-insurers, by repeating the request association process. Please note you will only be able to access one self-insurer at a time.
How do I access other self-insurers I'm associated with?
You can select your access to other self-insurers by selecting the My Account page on the WorkCover WA Online homepage. Under the My Associations section you will be able to change self-insurers by selecting Switch. The active association will be displayed as the Current Context.
How do I terminate my association with a self-insurer?
Your Local Security Officer (LSO) has the access to disassociate you from a self-insurer.
Please contact the nominated LSO for your self-insurer access to be removed.
Can I become a Local Security Officer (LSO)?
Yes, you can become a Local Security Officer (LSO) but you must contact your currently registered Local Security Officer (LSO).

How do I reset my password?
You can reset your password by selecting Forgot Password on the WorkCover WA Online registration page. You will be taken to a new page requesting you to provide your email address.

You will be provided with a screen message requesting you to check your email inbox for an email notification that will have a link Reset Password. When you click on this link you will be presented with a dialogue box to reset your password.

Forgotten my password. What do I do?

How do I change my email address to log in?
If you need to update your email address please contact your Local Security Officer (LSO).
Forgotten my email address to log in. What do I do?
Your email address is your work email address. However if you are having difficulties please contact your Local Security Officer (LSO).
I am having difficulty registering for WorkCover WA Online. What do I do?

How do I update my details?
Your details can be updated in the My Account page. You can update your first name, surname and phone number.

If you need to update your email address please contact your Local Security Officer (LSO).

Local Security Officer (LSO)
Who is a Local Security Officer?
The Local Security Officer (LSO) is the nominated individual within a self-insurer who administers and maintains their staff user accounts for WorkCover WA Online.
What are the responsibilities of a Local Security Officer (LSO)?
As a Local Security Officer (LSO) you will be responsible for administering and maintaining your staff accounts for WorkCover WA Online system.

The Local Security Officer will have access to:

  • Approve or disapprove new user accounts.
  • Approve or disapprove new self-insurer association requests.
  • Disassociate existing user accounts with the self-insurer.
  • Grant or revoke Local Security Officer.
How do I get to be approved as a Local Security Officer (LSO)?
When there is no represented Local Security Officer (LSO), a self-insurer has to nominate an individual to become a LSO. The nominated individual must raise an account on WorkCover WA Online and request for LSO access using the form on Contact us.

WorkCover WA will process the request and notify the nominated individual on the decision.

When the self-insurer has a registered LSO it is the responsibility of the insurer LSO to administer and maintain user accounts.

How do I register as a Local Security Officer (LSO) for WorkCover WA Online?

Can I change a user to become a Local Security Officer (LSO)?
Yes, a user can be changed to a Local Security Officer (LSO) by selecting the My Account page on the WorkCover WA Online homepage. Search for the user in the User List and select Details. You will be taken to a new page with the user’s details and their Current Permissions. Under the roles section select Set as LSO.
Can I remove the Local Security Officer (LSO) access from a user?
Yes, a Local Security Officer (LSO) can be changed back to a user by selecting the My Account page on the WorkCover WA Online homepage. Search for the user in the User List and select Details. You will be taken to a new page with the user’s details and their Current Permissions. Under the roles section select Insurer LSO.

There must always be one active LSO for an insurer and/or self-insurer.

How do I associate a user to a self-insurer?
You can approve a request to associate a user to a self-insurer by selecting the Manage Users page on the WorkCover WA Online homepage. Requests to be approved will be listed above in the Pending Requests section. From there you can select Approve and then a screen will appear confirming to approve association request select Confirm.
How do I decline a users' association request to a self-insurer?
You can decline a request to associate a user to a self-insurer by selecting the Manage Users page on the WorkCover WA Online homepage. Requests waiting to be declined will be listed above in the Pending Requests section. From there you can select Decline and then a screen will appear confirming to decline association request select Decline.
How do I disassociate a user from a self-insurer?
You can disassociate a user from a self-insurer by selecting the Manage Users page on the WorkCover WA Online homepage. Search for the user in the User List and select Details. You will be taken to a new page with the user’s details and their Current Permissions. Under the actions section select Disassociate.
A user who is registered for WorkCover WA Online has recently left my organisation. How do I cancel their access?
A user can only be disassociated from a self-insurer.

On the WorkCover WA Online homepage select the Manage Users page. Search for the user in the User List and select Details. You will be taken to a new page with the user’s details and their Current Permissions. Under the actions section select Disassociate.
